Background
UN-Habitat’s institutional archives and historical audiovisual collections are a record of the Agency’s mission in promoting socially and environmentally sustainable human settlements development and the achievement of adequate shelter for all. The collections contain evidence of over 45 years of work, and tell the story of the ideas and actions, the programs and projects, and the efforts undertaken to fulfil that mission. The Agency currently has legacy records mainly from UN-Habitat projects which need appraisal. The proposed legacy records appraisal will go through phases of appraisal and processing followed by archival descriptions.
Purpose:
Oversee the appraisal of legacy records to establish their Archival/enduring value as guided by Information Management Staff and Process the same according to the established records groups or series and carry out the recommended disposal action.
Responsibilities
The post is located at the Knowledge and Innovation Branch of External Relations, Strategy, Knowledge and Innovation Division of UN-Habitat
Terms of Reference Archives
Under the overall supervision of the Team lead Information and Knowledge Management, and guidance of developed Appraisal guidelines the incumbents will perform the following duties.
- Oversee the appraisal of legacy records to determine their evidential value and/or informational value as directed by the Team lead Knowledge and Information Management
- Process the appraised records according to the established criteria i.e. series/records group.
- Arrange the archives according to the identified records series or established record groups.
- List the recommended records for destruction and implement the records disposal action
- Enter the information regarding the archived records into the established database.
- Undertake any other duty as requested.
Qualifications.
Completed high school, or equivalent diploma is required. Training in Archives and Records management/ Information Management course is required. Additional technical training is an added advantage
Work Experience:
At least five years of practical experience in Archives Administration with emphasis on records appraisal.
Languages: Proficiency in written and spoken English, knowledge of another UN language an advantage
Communication: Ability to explain archival concepts in layman's language; ability to communicate with all levels of management and staff.
Reporting lines: The candidate will report to Team lead, Knowledge Management, Knowledge and Innovation Branch, UN-HABITAT and who will evaluate the outputs.
